No. Dynamics GP Electronic Reconcile reads BAI files and comma delimited, tab delimited or fixed field layouts defined in its Configurator, not PDFs. Convert the PDF statement to CSV with the tool above, shape the rows into your bank format, and load it with Transactions Download. GP then matches checks, deposits and transfers against the checkbook.
Electronic Reconcile needs a bank file. Card accounts, small banks, closed accounts and catch-up months often leave you with PDF statements only.
The Configurator reads BAI and delimited or fixed field text files.
Bank CSV history rarely reaches back to a catch-up start date.
GP support ends December 31, 2029, and history should be reconciled first.
Upload the statement, export CSV, format it once and download it into GP.
The transaction table in rows and columns, ready for Excel.
Paper and photographed statements convert like digital PDFs.
Withdrawals and deposits in separate columns if you prefer.
Printed check numbers stay with the line for check matching.
Check the rows against the printed balances before import.
Files are encrypted in transit and at rest.
One checkbook or a year of catch-up statements.
Drop the statement in the converter above.
Review the rows, then download the CSV.
Write the lines in your Configurator layout.
Transactions Download, then Reconcile Bank Statements.
Finance teams still closing the month in GP.
Reconciling card, loan and second-bank checkbooks with no BAI feed.
Cleaning up client checkbooks before a Business Central migration.
Rebuilding a year of reconciliations from PDF statements.
No. Electronic Reconcile in Dynamics GP reads text files in a bank format, either BAI or a comma delimited, tab delimited or fixed field layout you define in the Configurator. A PDF is not one of them. The working route is to convert the PDF statement to CSV, shape the rows into the layout your Configurator expects, and bring the file in with Transactions Download. GP then matches checks, deposits and transfers against the checkbook and leaves the rest for you to clear by hand.
The file layout, the menu paths and the matching rules on this page come from Microsoft's own Dynamics GP support articles. The conversion step is where we come in: our converter reads the statement, digital or scanned, and writes the transaction table to CSV so you are not typing a month of activity into a spreadsheet.
BAI2 is a treasury product. Large commercial banks send it every morning, but a community bank loan account, a corporate card, a payroll account at a second bank or an account the company closed last year often has nothing but a monthly PDF. The CSV download most banks do offer tends to stop after a limited window, so a catch-up reconciliation that starts eighteen months back runs out of files quickly.
Timing adds pressure. Microsoft stopped selling new GP subscriptions on April 1, 2026, ends product support on December 31, 2029 and ends security updates on April 30, 2031. Most GP shops are planning a move to Business Central or another system, and auditors and migration partners both want every checkbook reconciled before history is carried over.
| Route into Electronic Reconcile | What you need | Where it breaks |
|---|---|---|
| BAI2 file from the bank | A bank that offers BAI2 through treasury services | Small banks, card accounts and closed accounts often offer no BAI2 at all |
| Bank CSV plus a user-defined format | A CSV download and a Configurator layout | Download history is often limited, so older months may exist only as PDFs |
| PDF statement converted to CSV, then shaped into the layout | The PDF and OFXStatement, from $49 a month for 2,500 pages | Adds a short spreadsheet step, and fees still need a GP entry |
| Manual Reconcile Bank Statements | The paper or PDF statement | Every line is ticked by hand, which is slow on busy accounts |
Convert the PDF to CSV, format the rows for your Electronic Reconcile bank format, set up the Configurator and Download Maintenance once, then run Transactions Download and finish in Reconcile Bank Statements. The routine we would follow for one checkbook:
Microsoft publishes a small sample BAI file for GP that you build in Notepad and save as a .csv file. It is the simplest layout to target because the BAI file format in the Configurator fills its fields in by default. Each line starts with a record type: 01 file header, 02 group header with the statement date, 03 account line with the bank account number, 16 one line per transaction, then the 98 and 99 trailers. On a 16 line the second field is the transaction code, the third the amount in cents with no decimal point, the fifth the date as YYMMDD and the eighth the check number.
01,,,,,,,, 02,,,,260831,,, 03,80808080,,,,,, 16,475,125000,,260805,,,1042, 16,475,38619,,260812,,,1043, 16,301,940000,,260815,,,, 98,,, 99,1103619,,2
That file carries two checks (1042 for $1,250.00 and 1043 for $386.19) and one $9,400.00 deposit for account 80808080. Code 475 is the check paid code GP maps by default; 301 is the standard BAI code for a commercial deposit, and it has to appear under Deposits Rec'd in your Codes Entry window. If your converted CSV has the date in column A, the amount in column C (withdrawals negative) and the check number in column D, this Excel formula writes each 16 line:
="16,"&IF(C2<0,475,301)&","&TEXT(ABS(C2)*100,"0")&",,"&TEXT(A2,"yymmdd")&",,,"&D2&","
Fill it down, copy the results into Notepad under the header lines and save. Microsoft warns that Excel strips leading zeros from dates such as 260805, so do not reopen the finished file in Excel. If your statement prints dates without a year, add the year in the CSV before you run the formula.
Microsoft's matching article explains nearly every line that lands on the exception report. The checkbook ID has to match, the transaction cannot already be reconciled or voided, and the transaction code in the file has to be mapped to the right category in Codes Entry.
| Transaction type in GP | Electronic Reconcile matches when | What to watch in a converted file |
|---|---|---|
| Checks | Amount and check number match, and the bank cleared date is after the check date | Put the check number in its own column. Leading zeros do not matter |
| Deposits | Amount matches, the GP deposit date is on or before the bank date, within the grace period (8 days by default) | Two deposits of the same amount inside the grace period fall to the exception report |
| Bank transfers | Amount and date match, and the transfer was entered as a Bank Transfer | Codes 277 and 577 are not mapped by default, so add them in Codes Entry |
| Increase, decrease adjustments and withdrawals | Never matched | Bank fees and interest stay on the list for a manual entry |
Two rules catch people on converted files. A check will not clear if the bank date in the file is earlier than the check date in GP, so use the posting date the bank printed, not the date the check was written. And adjustments are never matched, so bank service charges, interest and card fees from the statement still need a Bank Transaction Entry before the checkbook balances.
OFXStatement Starter is $49 a month, or $24.50 a month billed yearly, for 2,500 pages from a shared monthly pool, with up to 25 pages per statement. Six checkbooks with 5 page statements for a year is 360 pages, so a full catch-up year usually fits in one month. Plus, at $149 a month, adds bulk upload of 50 files at once and unlimited pages per statement for long commercial statements. You can test 15 pages before paying, no credit card needed.
Moving to Business Central? Business Central uses its own bank statement import formats, different from GP. Our Business Central bank statement converter page covers the CSV route there, so the same PDFs serve both sides of the migration.
Scanned and photographed statements go through the same upload, read with OCR. If the statements are for a year-end cleanup rather than a live checkbook, the bookkeeping cleanup converter page walks through batching a year of PDFs.
Yes, through Electronic Reconcile in Bank Reconciliation. GP reads a text file in BAI format or in a comma delimited, tab delimited or fixed field layout you set up in the Configurator, then matches checks, deposits and transfers against the checkbook. PDF statements have to be converted to CSV and formatted first.
The Configurator supports BAI plus user-defined comma delimited, tab delimited and fixed field layouts. Each transaction line needs a date, the account number, the amount, the check number, a record type code and a transaction code. Microsoft publishes a sample BAI file you can build in Notepad and save as .csv.
Put the bank account number on the checkbook in Cards, Financial, Checkbook. Create the bank format in Tools, Routines, Financial, Electronic Reconcile, Configurator and save the codes in Codes Entry. Add a download ID in Download Maintenance that points at the file, then run Transactions Download.
Checks match on amount and check number, and the bank date must be after the check date. Deposits match on amount when the GP date is on or before the bank date and within the grace period, 8 days by default. Transfers match on amount and date. Adjustments and withdrawals are never matched.
Microsoft gives two causes: the account number in the file lost its leading zeros, or the same bank account number is assigned to more than one checkbook, including inactive ones. Fix the number in the file or remove it from the extra checkbook, then download again.
Not through Electronic Reconcile, whose Configurator formats are BAI and user-defined delimited or fixed field text files. That is why this page recommends the CSV export from our converter for GP, even though the product also writes OFX for software that reads it.
OFXStatement Starter is $49 a month, or $24.50 a month billed yearly, for 2,500 pages. Plus is $149 a month with bulk upload of 50 files. A year of statements for several checkbooks usually fits in one Starter month, and you can test 15 pages first with no credit card.
Microsoft ends product support and updates for Dynamics GP on December 31, 2029 and security updates on April 30, 2031. New subscriptions stopped on April 1, 2026. Existing customers can keep using GP, and most are reconciling history before a move to Business Central.
