TL;DR: Business Central cannot import a PDF bank statement. It imports comma or semicolon separated files (CSV or TXT) through a bank statement import format you set up once, plus bank feeds through Envestnet Yodlee. Convert the PDF to CSV, run the Set up a bank statement file format assisted setup against that file, attach the format to the bank account, then use Import Bank Statement on the Bank Acc. Reconciliation page.
The bank feed covers most months for most companies. The rest is where finance teams lose afternoons: the bank Yodlee does not connect, the credit union that only emails PDF statements, the year of history you need at go-live, the account that closed before anyone set up a feed, and the audit request for statements from 2023. In every one of those cases the source is a PDF, and a PDF is not something Business Central reads. This guide covers the conversion, the import format setup and the two settings that break most first attempts.
Can Business Central import a PDF bank statement?
No. Microsoft's documentation describes two ways to fill the Bank Statement Lines pane: importing a file or stream from the bank, or suggesting lines from open entries. File import means a delimited flat file, and since the 2021 release wave 1 update the product has an assisted setup that maps a CSV or TXT file's columns to its own fields without a developer. Here is how the files you are likely holding compare.
| What you have | Business Central | What to do with it |
|---|---|---|
| Envestnet Yodlee bank feed | Yes, once the bank feed service is set up and linked | Best for current months, where your bank is supported |
| CSV or TXT file, comma or semicolon | Yes, through a bank statement import format you define once | Import Bank Statement on the Bank Acc. Reconciliation page |
| XML statement formats such as SEPA CAMT | In localized versions that ship those formats | Rare from US banks |
| OFX, QFX or QBO download | Not in the standard product | Ask the bank for CSV instead, or convert the PDF |
| PDF statement, digital or scanned | No | Convert it to CSV with the upload box above, then import |
For a digital or scanned statement, upload it with the box at the top of this page and set Extract to Transactions only, so the file holds just the transaction table under a single header row. The converter reads every page, scanned pages included through OCR, and lets you download the rows as CSV. Our PDF bank statement to CSV converter page explains how the columns are built. Keep one statement per file: it maps to one reconciliation and makes every total easy to check.
How do I set up a bank statement import format in Business Central?
Search for Bank Export/Import Setup, create a new line, and choose Bank Statement File Format Wizard from the actions (the same thing appears in assisted setup as Set up a bank statement file format). The wizard builds the data exchange definition for you. Behind the scenes it is the same object consultants used to build by hand on the Data Exchange Definitions page, with a column definition for each field and a mapping to the bank reconciliation line table.
| Wizard step | What Business Central asks | What to enter for a converted statement CSV |
|---|---|---|
| Start | Download a sample or upload your own bank file | Upload one converted CSV so the wizard can read its shape |
| File layout | Number of header lines | 1, when you converted with Transactions only |
| Separators | Column separator, column count, line separator | Comma; the column count of your CSV |
| Column definitions | Which column holds the date, amount and description | Point Transaction Date, Statement Amount and Description at the right columns |
| Local formats | Date format and decimal separator used in the file | The date pattern exactly as the CSV shows it; a period as the decimal separator |
| Test | Runs the format against a file | Use the same CSV and compare the lines with the PDF |
When the wizard finishes, open the bank account card and set Bank Statement Import Format to the code you just created. That link is per bank account, so a company with three banks usually ends up with three formats, one per statement layout. Converted statements from the same bank keep the same columns month after month, so one format serves every month you import for that account.
Only two fields are truly required: Transaction Date and Statement Amount. Map the description as well, because Match Automatically compares text on the statement line with text on your ledger entries, and a line with no description only has the amount and date to go on.
How do I import a PDF bank statement into Business Central?
- Convert the statement PDF to CSV with the upload box on this page, using Transactions only. Check the rows against the PDF, especially dates and signs.
- If the statement prints withdrawals and deposits in two columns, add one signed Amount column in Excel (deposits minus withdrawals) and save as CSV.
- Run the Bank Statement File Format Wizard once with that file and attach the result to the bank account card.
- Search for Bank Account Reconciliation, choose New, and pick the bank account.
- Enter the Statement Date and Statement Ending Balance from the PDF.
- Choose Import Bank Statement, select the CSV and open it. The lines fill the Bank Statement Lines pane.
- Choose Match Automatically, set a Transaction Date Tolerance of a few days so checks and card settlements still match, then review and post.
Lines that do not match are usually bank fees, interest or transfers nobody posted. Microsoft's answer is the Transfer to General Journal action, which opens a journal with those lines ready for a balancing account. Post them, refresh the reconciliation, match, and the difference goes to zero.
Business Central bank statement import date format
Dates cause more failed imports than anything else, because the date format is fixed in the import definition while the file is whatever the bank printed. The converted CSV keeps each date exactly as the statement shows it. US banks print month first, but some use 03/04/2026, some 3/4/26, and card statements often print 03/04 with the year only in the statement header. Open the CSV, look at the date column, and put that pattern in the wizard's local formats step, for example m/d/yyyy for dates like 10/15/2020 as Logan Consulting shows in its setup guide, with the en-US culture. If a statement lists dates without a year, add the year in Excel before import; a definition cannot guess it.
The same logic applies to amounts. Plain numbers with a period as the decimal point import cleanly. A dollar sign or a thousands comma inside the cell can make the line fail or read wrong, so clean them in the spreadsheet if your statement prints them.
What usually goes wrong
| Symptom | Usual cause | Fix |
|---|---|---|
| Import stops on the first line | Header Lines is 0 but the file has a header row, or text sits above the header | Set Header Lines to 1 and convert with Transactions only |
| Dates rejected or months and days swapped | The date format in the definition does not match the file | Copy the pattern from the CSV exactly, including two or four digit years |
| Every amount lands as a deposit | The statement prints withdrawals as positive numbers in their own column | Build one signed Amount column in Excel before import |
| Amounts off by a factor of 100 or rejected | Thousands separators or currency signs in the amount cells | Remove them, or set the decimal and culture settings to match |
| No Import Bank Statement action | You are on the Bank Rec. Worksheet in a North American version | Turn on Bank Recon. with Auto. Match in General Ledger Setup |
The North American gotcha: Bank Rec. Worksheet
US and Canadian versions of Business Central also ship the older Bank Rec. Worksheet, which suits checks and deposits but cannot import a bank statement file at all. Which page you get depends on the Bank Recon. with Auto. Match field in General Ledger Setup. Microsoft's instruction is to clear that field if you want the worksheet, so if Import Bank Statement is missing, check the field before you check the file. The same toggle has to be on for the Undo action on posted bank reconciliations.
Bank Acc. Reconciliation or Payment Reconciliation Journal?
Both pages import the same statement file. Bank Acc. Reconciliation matches statement lines against bank ledger entries you already posted, which is what you want for history and month-end. The Payment Reconciliation Journal applies incoming and outgoing payments to open customer and vendor entries and reconciles the bank account as it posts, which suits current months with a lot of customer receipts. For the vendor side, clean statement data only helps if the bills behind those payments were entered correctly in the first place, and teams still keying invoices by hand usually get more out of accounts payable automation than out of faster bank rec.
Loading history at go-live
Partners moving a customer from QuickBooks, Sage or an older Dynamics release onto Business Central often need twelve months of bank activity so the first reconciliations have something to match. The bank feed rarely reaches that far back, and the old system's export may not be at statement level. Converting the monthly PDFs gives you one CSV per statement with the bank's own dates, descriptions and amounts, which reconcile against the migrated ledger one statement at a time. The same approach works in the other ERPs we cover, such as the NetSuite bank statement import and Sage Intacct bank statement import.
What it costs to convert a backlog
You can test up to 15 pages with no credit card, enough to run a statement all the way through the wizard and a reconciliation. The Starter plan at $49 a month covers 2,500 pages on the faster AI model, up to 25 pages per statement, which is a year of statements for several typical accounts. Partners and controllers with a migration backlog will want Plus for bulk upload of up to 50 files at once and no per-statement page cap; the bulk bank statement converter page shows that workflow. See pricing for current plans.
Weigh that against typing. A mid-size operating account with 300 lines a month is 3,600 lines a year, and each typo is a reconciliation difference someone has to find later.
Frequently asked questions
Business Central import CSV bank statement: what format does it need?
A comma or semicolon separated file with a consistent column layout: at minimum a transaction date and a statement amount, ideally a description. You describe that layout once with the Bank Statement File Format Wizard, attach it to the bank account, then import the file from the Bank Acc. Reconciliation page with Import Bank Statement.
Business Central bank statement import wizard: where is it?
Open Bank Export/Import Setup, create a new line and choose Bank Statement File Format Wizard from the actions, or start the Set up a bank statement file format assisted setup. It asks for header lines, the column separator and count, column definitions and local formats, then lets you test the format on a file.
Business Central bank statement import date format: which one should I use?
The one your file actually uses, entered exactly. Open the CSV, read a date such as 03/04/2026 or 3/4/26, and enter the matching pattern in the local formats step with the en-US culture. A mismatch is the most common reason a statement import fails or swaps months and days.
Can Business Central import OFX or QFX files?
Not in the standard product. Business Central imports delimited flat files through bank statement import formats, XML formats in some localized versions, and bank feeds through Envestnet Yodlee. If your bank offers only OFX, QFX or PDF, a CSV converted from the PDF statement is the practical file to import.
Business Central automatic bank statement import: is there one?
Yes, for supported banks: the Envestnet Yodlee Bank Feeds service imports transactions as a feed once you link each bank account. It does not reach back through older history, closed accounts or unsupported banks, so those months still come in as files through Import Bank Statement.
