Can you import PDF bank statements into Quicken Simplifi?

Not directly. Quicken Simplifi imports transactions from CSV files only, one account at a time, from the web app. Convert the PDF statement to CSV, name the columns Date, Payee and Amount, put a minus sign on every expense, then use Import transactions on the account. Each set of transactions can be imported only once, so test with one month first.

Simplifi only takes CSV. Your old statements are PDFs.

Simplifi pulls recent transactions from the bank connection, and many banks cap CSV downloads at about 90 days. Anything older lives in monthly PDF statements, and Simplifi cannot read a PDF. Typing a year of a busy account by hand takes hours and one missing minus sign turns a payment into income.

How do I import transactions into Quicken Simplifi?

Open the Simplifi web app, go to Transactions, pick the account, choose Import transactions, select the source (Mint, Empower, Apple Card or CSV file), confirm the account and upload the CSV. Simplifi imports CSV only, one account at a time, and only from the web app; the mobile apps have no importer. If the account is a manual account, create it before you import. Quicken describes the button as a cloud icon with an upward arrow on one help site and as an option under the three dot menu next to Filter on the other, so look for either.

The step that trips most people up happens before that screen. Simplifi needs a CSV with its own column names and signed amounts, and what most people actually hold for older months is a stack of PDF statements. The converter at the top of this page turns those PDFs, including scanned ones, into CSV or Excel with every transaction on its own row. The rest of this page is how to shape that file so Simplifi accepts it on the first try.

Simplifi import CSV format: the columns Quicken expects

Quicken recommends its downloadable Simplifi CSV template and says a file you build yourself should use the same column structure. The Simplifi help center lists Date, Payee, Amount, Category, Tags, Notes and Check_No; every transaction needs at least a Date, a Payee and an Amount, or it may be skipped. Here is how each column maps to a converted bank statement.

Two details decide whether the import works. First, the sign: Simplifi treats any amount without a minus as money coming in, so a withdrawal written as 45.00 lands as a $45 deposit. Second, the date: Quicken's own help pages disagree, one showing 1/1/22 and the other 1/1/2022. A four digit year removes any doubt about the century, and we have not seen a reason to use two digits. If your bank prints dates as Jan 05 or 01/05 without a year, add the year before you save.

Can Quicken Simplifi import PDF bank statements?

No. Simplifi imports transactions from CSV files only. Quicken says so directly: CSV is the only file format supported for transaction imports, although you can attach PDFs and images to transactions after they are in. To get a PDF statement into Simplifi you convert it to CSV first, then import the CSV. That is the job the upload box at the top of this page does, for digital PDFs from online banking and for scanned paper statements alike.

How to convert a PDF bank statement to a Simplifi CSV

This takes about five minutes the first time and two once you have done it.

  1. Convert. Upload the PDF statements above and download the result as Excel. Excel is easier than CSV for the next step because you can write formulas.
  2. Rename. Change the description header to Payee and the date header to Date. Delete the running balance column; Simplifi does not use it.
  3. Sign the amounts. If the statement has separate Withdrawals and Deposits columns, add an Amount column with =D2-C2 (deposits minus withdrawals) and fill it down. If it has a single amount column, check that money going out is negative. Credit card statements usually print charges as positive numbers, so multiply that column by -1.
  4. Fix the dates. Add a helper column with =TEXT(A2,"m/d/yyyy"), paste it back over the Date column as values, and add the year where the statement left it out.
  5. Save as CSV. Keep only Date, Payee, Amount and any optional columns you filled, then save as CSV (comma delimited).
  6. Test, then import. Import one month into the right account first. When it looks right, import the remaining months.

Our CSV output keeps the column layout of the original statement, so the rename and sign steps are the only manual part. If your statement has one amount column and you would rather split it into Debit and Credit for checking, the export has an option for that too.

Why won't my CSV import into Simplifi?

Almost always one of four things: a header that does not match Date, Payee and Amount, a date in the wrong format, expenses without a minus sign, or empty required fields. Quicken's troubleshooting list covers exactly those. Also check the file is a real comma delimited CSV rather than an Excel workbook renamed to .csv, and that you picked CSV as the source rather than Mint or Empower. If every expense arrived as income, the amounts were unsigned: delete the import and redo it, bearing in mind the next point.

Can I import the same transactions into Simplifi twice?

No, and this is the rule to respect before you click Import. Quicken states that each set of transactions can only be imported once, and that if imported transactions are deleted, re-importing the same file into the same account will not bring them back; you would have to recreate them by hand. Quicken does not document any duplicate matching between a CSV import and transactions the bank connection has already downloaded. So test with one month, and only import dates that end the day before the connected history begins.

Does Simplifi import categories and Quicken Classic data?

Simplifi cannot read a Quicken Classic data file; Quicken says the two products do not share data and recommends the CSV import instead. On categories, Quicken is not consistent: the Simplifi help center says categories import only if they already exist in Simplifi, while its Quicken help site and the Classic migration article say categories are not imported. Plan to categorize after the import either way. It is also why we suggest leaving the Category column empty: Simplifi rules will categorize recurring payees for you once the history is in.

Quicken Business & Personal import transactions

Quicken Business & Personal, the version for self employed people and small business owners at $8.99 a month or $4.99 a month billed annually, is built on the same cloud platform and uses the same CSV importer and the same rules. That is where older statements matter most: a Schedule C, a lender or a new bookkeeper usually wants the full year, and the bank connection rarely goes back that far. Convert the business account statements the same way, and import them into the business account before you start tagging transactions as business or personal.

What does it cost to convert statements for Simplifi?

The first 15 pages are free to test, and the Starter plan is $49 a month for 2,500 pages, or $24.50 a month billed annually. A typical checking statement is two to six pages, so a year of one account is roughly 25 to 70 pages and a full household backfill of several accounts over several years fits inside a single Starter month. Starter accepts statements up to 25 pages each. Plus, at $149 a month for 10,000 pages, uploads up to 50 files at once and removes the per statement page limit, which suits a bookkeeper setting up several clients on Quicken Business & Personal.
