Financial Edge NXT cannot read a PDF bank statement, but it can clear register transactions from an OFX file. Convert the PDF statement to OFX, open the bank account register, select Clear electronically, upload the file, and Financial Edge NXT marks every matched transaction Cleared and lists the rest as exceptions. Then reconcile as usual.

That route matters whenever bank feeds cannot help. Feeds in Financial Edge NXT run through Yodlee, so they only work for accounts Yodlee can link and only as far back as the bank releases history. A grant account at a small bank, a money market account, a credit card, or the eight months before your organization turned feeds on are all reconciled from statements. The steps and screen names below come from Blackbaud's own help center.

Three ways to clear a Financial Edge NXT register

Blackbaud gives you bank feeds, electronic clearing from a bank file, and manual clearing. The electronic clearing screen accepts .qif, .ofx, .qbo, bai.txt and .qfx files, and Blackbaud's help says to use it whenever you are not clearing through Yodlee. A converted PDF statement fits that route exactly.

How to reconcile Financial Edge NXT from a PDF bank statement

Before you start, make sure cash management is enabled in the subledger settings for the bank account. Blackbaud's help is explicit that reconciliation will not run without it.

  1. Upload the PDF statement in the box at the top of this page and export OFX. Scanned and photographed statements convert too.
  2. Compare the row count and the totals with the printed statement. It takes a minute and catches a missed page before Financial Edge NXT sees the file.
  3. In Financial Edge NXT, open the bank account record and, under Register, select Clear electronically.
  4. Upload the OFX file. Under Set cleared date, choose the date from the bank file, which keeps each item on the day it actually cleared.
  5. Select Clear transactions. When processing finishes, open the notification in the top right corner to see the Clear Transactions Electronically report.
  6. Work the exceptions, then select Reconcile, enter the statement date and ending balance, and finalize.

If you are catching up several months, convert and clear them in order, oldest first, and reconcile each month before clearing the next. Clearing history under the register keeps the run date, the exception count and the file name for each upload, and you can open the original file from there later. The report itself is not saved, so export or note the exception totals before you move on.

What the Clear Transactions Electronically report tells you

The report shows four numbers: how many transactions matched and were marked Cleared, their total, how many lines became exceptions, and the total of those exceptions. On a clean operating account most lines match. The exceptions are the work, and they are almost always one of a few familiar cases.

One detail of our OFX is worth knowing. The check number stays in the transaction description rather than a separate check number tag, so when two checks share an amount, use the description to pick the right register entry. Each line also carries a stable transaction ID, so converting the same statement twice produces the same IDs.

Should you use the bank file or the statement date as the cleared date?

Use the date from the bank file. The Set cleared date option lets you stamp every item with one date you type, which is handy for a single month, but on a catch-up run it hides when each item actually cleared. Keeping the bank date also keeps the outstanding list honest: Financial Edge NXT treats a transaction as outstanding when its clear date falls after the reconciliation date.

Card accounts, grant accounts and other statements without a feed

Card statements are the most common gap. A purchasing card program produces a statement every month, and someone has to tie it to the register and to the backup for each charge. Convert the card statement to OFX and clear it electronically the same way. The receipts are a separate job; if your team still keys them by hand, receipt scanning software that pulls the data into a spreadsheet takes care of that side before the card statement is reconciled.

Restricted grant accounts and investment sweep accounts follow the same pattern. Auditors want a reconciliation for every month of the fiscal year, and the bank statement is the evidence. Converting a year of statements and clearing them month by month is a one-afternoon job instead of a week of ticking boxes.

What it costs

Converting is the only paid step. OFXStatement Starter is $49 a month, or $24.50 a month billed yearly, for 2,500 pages, which covers a year of statements for most organizations. Can Financial Edge NXT import a bank statement?

Yes, for clearing. Financial Edge NXT reads .qif, .ofx, .qbo, bai.txt and .qfx files through Clear electronically on the bank account register, and it matches each line to register transactions. It does not read PDF statements, so convert the PDF to OFX first.

Does clearing electronically create transactions in Financial Edge NXT?

No. It matches the file to transactions already in the register and marks them Cleared. Unmatched lines appear as exceptions, and bank fees or interest still need to be recorded, or handled with an adjustment when you finalize the reconciliation.

Do I need bank feeds to reconcile in Financial Edge NXT?

No. On the Reconcile page you choose manual reconciliation or reconciliation with bank feeds. Electronic clearing from a bank file is the middle path, and it is the one Blackbaud points to when you are not clearing through Yodlee.

What if the Clear Transactions Electronically report does not appear?

Blackbaud's help says to upload the bank file and run the process again. If it still fails, open the file in a text editor and check that it starts with an OFX header and contains transaction lines, which rules out an empty export.
